Administration officer résumé example Australia
Start with the work you can explain
An administration officer résumé should show how you keep work organised: appointments, records, enquiries and the documents other people rely on.
For an experienced applicant, start with recent employment and give the most relevant role the most space. Follow the job advertisement’s instructions first.
SEEK’s administration officer guide highlights record keeping, calendar management and administrative systems. Those are useful prompts, not a skills list to copy unchanged.
Indeed Australia’s administrator guide describes chronological presentation for experienced applicants. A clear employment history helps the reader place each example.
A fictional example, with notes
This is a fictional teaching example. Names, employers and experience are made up. It is not a customer résumé or a hiring result.
The extract below shows wording and section order, not a complete résumé or a recommended page count. Replace sample details with your own facts.

Summary
Administration officer with experience coordinating appointments, maintaining records and responding to enquiries. Uses Outlook, Excel and SharePoint for scheduling and document organisation.
Why this works: the summary names actual work and tools rather than describing a personality. The experience section must support every claim.
Do not list SharePoint because an advertisement mentions it. If you have not used it, leave it out and describe the systems you know.
Recent experience
Administration Officer — Example Services
Jan 2021–Sep 2026
- Coordinated appointments in Outlook and confirmed changes with staff and clients.
- Updated service records and checked missing fields before filing.
- Prepared meeting agendas and recorded actions for follow-up.
- Responded to telephone and email enquiries, directing requests to the appropriate team.
- Maintained an Excel register of outstanding requests for weekly team reviews.
- Organised shared documents in SharePoint using the team’s naming and folder conventions.
Why this works: each bullet names an action and the thing handled. The reader can see what “administration” meant in this role.
These are examples of responsibilities, not claims of exceptional performance. Add an outcome only when you can explain what happened and your contribution.
Earlier experience
Administrative Assistant — Example Support
Feb 2016–Dec 2020
- Organised incoming correspondence and distributed documents to the relevant staff.
- Prepared routine letters using approved templates and checked contact details before sending.
Why this works: the earlier role keeps its title, employer and dates but has fewer bullets. Add detail if it contains your strongest relevant evidence.
Skills and education
Skills: appointment coordination; records maintenance; enquiry handling; Outlook calendars; Excel registers; SharePoint document organisation.
Education: [your actual qualification] — [provider], [completion date].
These are prompts, not credentials to adopt. Include only your skills and qualifications, and remove placeholder text before submitting.
Turn a vague duty into evidence
Before: “Responsible for general administration.”
Clearer: “Coordinated appointments in Outlook and confirmed changes with staff and clients.”
The second version identifies the task, tool and people involved. It does not add a percentage, saving or achievement that the applicant never supplied.
The UNSW résumé guide recommends an action verb, task and outcome or purpose. Purpose can help when an outcome is difficult to measure.
For example, “Maintained an Excel register of outstanding requests for weekly team reviews” explains why the register existed without claiming improved performance.
Ask yourself what you handled, which system you used and who relied on the work. If you know a useful number, check it before adding it.
You do not need to turn every duty into a quantified achievement. Specific, supportable responsibilities are better than impressive claims you cannot explain.
Tailor the example to the advertisement
Read the requirements before choosing bullets. An appointments-heavy role needs different emphasis from one focused on records or purchasing.
If the advertisement asks for records accuracy, bring your checking and filing example forward. Keep the wording faithful to what you actually did.
If it asks for purchasing experience you do not have, do not rename routine administration as procurement. Use another genuine example or leave the gap clear.

Check your own résumé
The free résumé checker reviews extracted text for contact details, dates and writing issues. No sign-up is needed, and it does not store your résumé.
It does not assess visual layout, count pages, verify your achievements or predict an employer’s screening decision. Treat findings as prompts to review, not proof of suitability.
Paste your own résumé, not this fictional extract. Review each finding against the document and the job advertisement.
You can then start with your résumé to review your facts and choose a template. See what is free and what the 30-Day Pass adds before deciding whether to pay.
